Uploading Applicants to the Database

If you want to expand your database, Talent Clue can help you do it in different ways. First, click on “Applicants”.  

To upload applicants directly to the database, you need to Access the database located on the top menu.

Once you are in the database, you will see two icons. First, we will examine the Mail icon.

1. Upload Applicants via Email

By clicking on the mail icon, the system will generate an email address from which you will be able to upload applicants directly to the database.

Duplicate applicants

When uploading an applicant by email to your database, this entry may already exist.

When you send an applicant by email, the systems tries to recognize the email in the file. If it finds it and also finds an applicant with the same email in the database, it will not create a second duplicate applicant, but will update the applicant already in the database. In this case, it will only update the file, since this is the only information we have from the applicant, which was part of the email.

The same is true when an applicant registers for multiple offers. Every time applicants register, their CV is not duplicated; rather, their information and CV file are updated with the new data entered by the applicant.  

1.1 Use the email address provided to upload applicants directly

You may modify this email address to make it easy to remember.

1.2 The system will name applicants uploaded by the system as "No name"

Note: All applicants uploaded via email will appear in your database as "No name". You will need to edit their name manually. Just click on the pencil icon located next to their name. Keep in mind that if you do a search, the system searches by CV content not by the name generated by the system (No name).

On the other hand, if you upload the applicant and their email is already on file, this means the applicant already exists. In this instance, the file will be updated and a new “no name” file will not be created. A message will prompt stating that the applicant already exists in your database and has been successfully updated.

Note: Although these files are named "No name", the system allows to do searches by the content of the applicant’s CV, therefore the name will not be relevant.

1.3 Edit each profile

To edit the name of the applicant, click on the pencil icon.

2. To edit the name of the applicant, click on the pencil icon.

This option will allow you to update applicants one by one or multiple applicants at once.

This feature will allow you to upload several applicants at a time.

NOTE :All applicants uploaded will appear in your Database as "No name" and their names will need to be edited manually by clicking on the pencil icon on the far right side of the row. When doing a search, remember that the system searches by CV content and not by the name generated by the system (No name).

3. Upload applicants directly to your processes

This option will allow you to upload applicants directly to any process in which you are working. We will walk you through the steps below.

Remember that the applicants you upload to the positions and the database (“Applicants”) will receive an email to authorize the treatment of their personal data. If the applicant declines the authorization, you will receive a notification informing you to delete all information related to that applicant.
